Bot isn't joining my meeting
Checklist — link format, meeting not started, permissions, org meeting-lock settings.

Work through this list in order — it covers the causes in the order they actually happen.
1. Check your recording rules
Settings → Calendar has five toggles that decide which meetings get a bot (external, internal, confirmed-only, recurring, non-host). If a meeting doesn't match any enabled rule, no bot is sent — this isn't a failure, it's working as configured. See Quick start.
2. Check the meeting link
- The invite link must be a real, joinable meeting URL — not a placeholder or a link that was later changed.
- If the link expired or the meeting was rescheduled after the calendar event was created, the bot tries the stale link and fails to join.
3. Check the meeting actually started
The bot joins at the scheduled start time. If the host started the call early or late from the calendar time, the bot may arrive to an empty room and time out, or arrive after everyone's already left.
4. Check for an admission requirement
Some platforms require the host to manually let participants in. If the bot is waiting rather than failing outright, see Bot stuck in the waiting room instead.
5. Check organization-level meeting locks
Some Google Workspace / Microsoft 365 admins restrict external participants or bots org-wide. If every meeting fails to get a bot (not just one), this is the likely cause — ask your workspace admin.
