Bot is stuck in the waiting room
The host must admit the bot; how to pre-approve it for recurring meetings.

Some meeting platforms put every non-organizer participant, including bots, into a waiting room by default. When this happens, Meetbook shows a banner on the meeting page telling you it's waiting to be admitted.
Fix it for this meeting
Ask whoever is hosting to admit "[Your name]'s Meetbook AI Notetaker" from the participant list, the same way they'd admit any other waiting participant. The name shown matches whatever you've set in Settings → Notetaker → Notetaker's Name.
Fix it for every future meeting
If you're the one who usually hosts, check your meeting platform's own settings for an option like "let anyone with a link join directly" or "no waiting room for known participants" — this removes the admission step platform-side, before Meetbook is even involved.
For recurring meetings you host, admitting the bot once in a platform that remembers trusted participants often carries forward to future occurrences — this depends on the platform's own behavior, not a Meetbook setting.
The bot waited and no one admitted it
The notetaker leaves automatically if it isn't let in within a few minutes, so nothing is recorded for that meeting. This shows as an empty recording, not an error — check No audio in my recording if you see one of these unexpectedly.
