How to record a meeting with Meetbook

Auto-join from calendar vs. manually pasting a meeting link.

There are three ways to get a meeting recorded.

1. Automatic, from your calendar

Once your calendar is connected and auto-record is on, Meetbook sends a bot — your Notetaker — to every meeting that matches your recording rules. No action needed per meeting.

Notetaker settings: identity, greeting message, and timeout rules

You can customize what the notetaker is called and what it says when it joins in Settings → Notetaker. Two timeouts protect against runaway recordings:

  • Silence Exit Duration — stops recording if no one speaks for the configured duration (default 5 min).
  • Maximum Meeting Duration — hard cap on recording length (default 6 hours).

2. Manual, from the dashboard

Click Record (top right of Home, or on a meeting's detail page) and paste a meeting link. Useful for ad-hoc calls that aren't on your calendar.

3. In-browser, from the Chrome extension

For calls you're already in, click the extension icon and Record — see Installing the Chrome extension. This captures audio directly from the tab instead of sending a visible bot participant, which is useful when a platform doesn't allow bot participants.

Automation settings

Settings → Meeting controls the defaults for every recording:

  • Auto-summarize recordings — runs the AI report the moment a recording ends.
  • Auto-record meetings — sends the bot to every calendar meeting (the master switch for automatic recording).
  • Spoken / secondary / output language — controls what the transcriber listens for and what language reports are written in.
